Planning Your Next Covid Safe Event With Confidence

It’s a nervous but exciting time for the events industry, with once-in-a-generation opportunities emerging as we slowly reopen after a somewhat “trying” year (queue sarcasm). Our industry has been tested, with businesses forced to adapt and pivot in order to survive. These opportunities though, as tantalising as they are, are tempered with varying levels of covid-related anxieties. Snap closures notwithstanding, planning events in a post-covid world is a daunting task, with each state having different guidelines and requirements, not to mention goal posts moving from week to week.  Fortunately, there are some common requirements our industry is perfectly positioned to action.  At AAC, we’re primed and ready to help you check off those items on your Covid Safe Checklist and support you in planning your next Covid Safe event with confidence!

Monitoring Capacity and Controlling your Crowd

Controlling guest numbers, knowing where they are and monitoring their movements is essential in ensuring a safe environment, and will likely be an important item on your checklist.  An effective tool can be a robust and touch free registration system with RFID wristbands.  This allows you to capture guest arrivals and departures, provide access to designated areas (i.e. VIP tents, dancefloors, green rooms etc.) and monitor traffic flow throughout your event. A fundamental component of any covid-safe plan, regardless of which state you are holding your event, is to understand your guests. Words like “Are the names and contact details of all attendees being captured so they can be contacted post-event if required?” are the cornerstone of all checklists.  AAC can help you ticket and register your visitors not only in compliance with covid-safe requirements, but adhering to privacy regulations also. You can also use this tool to ask specific questions (i.e. Have you travelled to x, y or z lately) for an extra layer of safety!

Physical Distancing

It’s up to the business owners and/or event managers to ensure their guests have adequate room to socially distance themselves at events.  Most Covid safe checklists require a functional system in place to monitor and adhere to allowed capacity numbers.  This often will require moving guests around, removing potential bottlenecks and overcrowding, and likely, sectioning guests off into predetermined areas. 

 

 

Signage, such as floor decals and crowd barriers are a great tool to help control crowd traffic and prevent overcrowding, especially at locations where queuing can occur (e.g kiosks, food vendors, entrances and exits).  Signs positioned at entry points and around areas of the event can inform guests on where to go, and keep them in the right location.  A-frame signs and corflute posters get your guest’s attention quickly and can easily be moved around, when required.

Finally, using location specific signage such as table tents, banners and crowd barriers can help you designate and control capacity in areas where people tend to gather (e.g. food courts/Entry and Exists).

cleaning, hygiene and environment management

It’s highly likely your Covid safe plan checklist will require a comprehensive cleaning and hygiene commitment, including ensuring all areas with guest contact have been disinfected.  Signage can be used to help guests identify locations of hand sanitizer stations, remind them to practice proper hygiene and throw away rubbish.  Table tents that highlight whether or not an eating area has been sanitized are helpful in alleviating any concerns for your guests.
